1. Introduction
MentionWatch ("we", "our", or "us") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclosure, and safeguard your information when you visit our website or use our service.
2. Information We Collect
- Personal Data: We collect personal information that you voluntarily provide to us when registering, such as your name and email address.
- Payment Data: Financial data related to your payment method (e.g., valid credit card number, card brand, expiration date) is collected and stored by our payment processor, Stripe. We do not store full credit card numbers.
- Public Data: As part of our Service, we collect public data from social media platforms (e.g., posts, comments, profiles) that match your monitored keywords.
- Usage Data: We may collect information about how you access and use the Service, such as your IP address, browser type, and operating system.
- Free trial checks: When you start your free trial (by creating your first tracking), we record the name part of your email address, your IP address, your browser and a device identifier stored in a cookie. We use these only to stop the same person from taking more than one free trial.
3. How We Use Your Information
We use the information we collect to:
- Provide, operate, and maintain our Service.
- Process your payments and manage your subscription.
- Send you administrative information, such as updates, security alerts, and support messages.
- Monitor and analyze usage and trends to improve our Service.
- Prevent abuse, such as one person taking repeated free trials (our legitimate interest in offering a free trial at all).
4. Disclosure of Your Information
We may share information we have collected about you in certain situations. Your information may be disclosed as follows:
- Service Providers: We may share your information with third-party vendors who perform services for us, including:
- Supabase: For database and authentication services.
- Stripe: For payment processing.
- Resend: For sending emails.
- Legal Requirements: We may disclose your information if required to do so by law or in response to valid requests by public authorities.
6. Data Security
We use administrative, technical, and physical security measures to help protect your personal information. While we have taken reasonable steps to secure the personal information you provide to us, please be aware that despite our efforts, no security measures are perfect or impenetrable, and no method of data transmission can be guaranteed against any interception or other type of misuse.
7. How Long We Keep Your Data
We keep personal data only as long as we need it:
- Your account and monitoring data: your profile, trackings, the posts collected for them and your alert rules are kept while your account exists. Deleting a tracking deletes the posts collected for it. Deleting your account deletes all of this and cancels any active subscription.
- Unused accounts: if you confirm your email but never set up a tracking or start a paid plan, we delete the account after 7 days. If an account without a subscription has no sign-in activity for 3 months, we email you and delete the account 7 days later unless you sign in.
- Billing records: invoices and payment records are kept by us and by Stripe for as long as accounting law requires (5 years under Danish law), also after you delete your account.
- Emails to support: kept so we can follow up on your request. Ask us at support@mentionwatch.com to delete them.
- Free brand audit: we log each search with the IP address and browser it came from, to prevent abuse of the free tool.
- Free trial checks: kept while your account exists. When you delete your account, we delete the IP address and browser straight away and keep only the email name and device identifier for 90 days, so a deleted account can't be used to start a new free trial. Then they are deleted too.
8. Your Data Rights
Depending on your location, you may have certain rights regarding your personal data, such as the right to access, correct, or delete the personal data we hold about you. To exercise these rights, please contact us at support@mentionwatch.com.
9. Emails to Businesses
Now and then we email a business to show it public social media posts about it, and to tell it about Mentionwatch. If you got one of these emails, this is how it works:
- Where we got your address: from your business's own public website, such as its contact page. We don't buy email lists.
- What we keep: the address, the business name and website, the email we sent and the public post links in it, and whether the email was delivered, opened, clicked or answered.
- Why: our legitimate interest in telling a business about posts that concern it and a service that may help. We email each address once and never follow up unless you reply.
- How long: we keep the record so we never email the same address twice. Ask us and we delete it, keeping only the address on a do-not-contact list so it stays that way.
- Your choice: reply "no thanks" to the email, or write to support@mentionwatch.com, to opt out or have your data deleted. You can also complain to your data protection authority (in Denmark, Datatilsynet).
10. Policy for Children
We do not knowingly solicit information from or market to children under the age of 13. If we learn that we have collected personal information from a child under age 13 without verification of parental consent, we will delete that information as quickly as possible.
11. Changes to This Privacy Policy
We may update our Privacy Policy from time to time. We will notify you of any changes by posting the new Privacy Policy on this page. You are advised to review this Privacy Policy periodically for any changes.
